What is a ‘virtual’ desktop?


A desktop is local to the machine on which you are working and where you are.

A virtual desktop works in EXACTLY the same but delivered to you from a data centre.

You work the same way as you do today on whatever is your preferred operating system; Windows XP, 7, MAC, Linux… and you can also work on any other device, anywhere, anytime, through ANY Internet connection and in special cases, even when a connection is not available..

Can I use my iPad or Apple Mac?


Yes

This system is designed to enable use of the iPad or Mac computers.

You simply access the app store, download the component available, configure it with the details we supply, then you have full access to your desktop applications where ever you have an internet connection.

If your iPad has a SIM installed, this means you have access to your systems wherever you are!

Do we have to upgrade to the ‘latest’ software and will upgrades be ‘forced’ upon us?


No.

Use what ever you using today and upgrades are made under your control, never forced on you!

Microsoft Office Upgrades are offered FREE as part of your subscription but even then it’s your call. You can continue to run all your current software including Sage, Quickbooks , Operational software… anything., Upgrades remain under YOUR control not the service provider.

Importantly, and before you upgrade any of your live systems, you can easily set up a ‘test’ virtual desktops for training and testing. This may incur additional costs but helps ensure peace of mind at upgrade time.

We already use a Hosted Email service; do we have to cancel this?


You do not have to cancel your existing mail service(s) and you can still ‘connect’ to that service from your hosted solution. However, it is probable that your present costs for this one service will be greater than the bundled cost and storage capacity for the Exchange bundled within this package, so change makes sense and comes FREE of any charge.

This solution comes with Microsoft Exchange already installed. Exchange is a professional business email platform that protects business communications within the business. It affords a complete audit trail and as well offers additional shared services for diaries, meetings, asset allocation and even Contact Management within Outlook.

Is there a set up fee?


There is an initial setup fee for transferring the data to the hosted solution.

Is there a limit to the amount of data we can store on the hosted solution?


Yes.

There is a data limit of 20Gb per user, plus an email limit of 2.5Gb per user, for our standard offering, but this can be increased upon request.

If you would like assistance to archive old data or emails please ask and we will assist as required.

Can you ‘Copy and Paste’ between the hosted desktop and the Local desktop?


Yes, you can and yet this function can be prohibited. Separating Business Data from Personal Data is a great idea. Locking down your hosted Business Desktop protects your business data and ensures your business information remains within your business and not someone else’s!

Do you offer Online Backup and Business Continuity?


Yes, and in real-time!

We understand that entrusting your data to a hosted solution demands the highest levels of data integrity and protection.

Online Backup is a complex process and must be sympathetic to the applications you are running (e.g. Sage 50). It is quite important that when running this software that not only is the data backed up, but that it is also validated prior to backup. Otherwise, you may be backing up a corrupt Sage system. We discourage using USB for backup as we provide exceptional backup and recovery solutions.

Using Recovery Desktops allow you to RESTORE backups to ensure you are fully protected and are an excellent way to ‘test’ disaster recovery procedure without affecting normal activity.

If disaster strikes, Business Continuity is as simple as re-connecting to your hosted Business desktopfrom anywhere, on any device and at anytime.

We already have Sage - can we simply run these as we do now but with all the benefits offered by the hosted solution?


Yes.

This hosted solution supports all Sage applications and over 100+ other applications approved for release to the Business Platform. If you have a specific application that needs to be hosted then we will assess and approve after testing.

How safe is this?


The cloud servers take a copy of your ‘whole’ system every 15 seconds and push this to multiple data centres. All connections are secure and we can ‘lock’ down user desktops to ensure your business information remains in your business.

This hosted solution is supplied by C4L, the market leader in providing affordable, flexible and effective ‘physical’ business space.

We presently have lots of servers, generating lots of heat and now taking up quite a bit of space. Can we move to a hosted solution quickly?


Usually the answer is YES, but any change needs to be planned and agreed prior to execution. The planning phase may take a few days or weeks depending on content and complexity.

We have developed streamlined migration services for data transfer where usually all we need are ‘snapshots’ of the servers so we can re-construct them for you. We can then give you the same access rights and control to manage your Virtual Servers. You have resolved your server cost and space issue without compromising your management, processes and content.

In highly sensitive deployments we can isolate the physical and virtual layers using dedicated hardware and software. In special circumstances this removes the need to re-purchase existing software licenses and should be discussed at the planning stage.

We have tried to use remote desktop technology before. The end user performance was slow and especially frustrating when typing. How does this solution overcome such issues?


This system has been built to optimise end user experience and what you describe we refer to as keyboard ‘latency’. Something quite common when using basic browser based desktops and in some cases also when using other Virtual Desktops.

We have also designed the system to deliver performance often improved over local area network speeds. This utilises Citrix at the core and Citrix was born to deliver end user performance well before server and desktop virtualisation.

This also supports all end-user peripherals.

This hosted solution delivers an ‘image’ of the desktop running in the data centre to the end user. We call this streaming. Streaming reduces bandwidth requirement (the amount of information passing to and from the end user to the server) and improves end user performance. So an old PC can now apparently run modern memory hungry applications without any need to upgrade.

Are all printers and external devices supported?
This solution is built using Citrix.

Citrix has approached ‘Virtualisation’ from the DESKTOP and has been supporting end-users since the early 90’s. . Most other ‘Virtualisation’ companies have approached from the SERVER angle or IT benefit. The result is that within the SERVER centric approach USER Issues are just being realised.

Working with Citrix ensures a complete, tried and tested User experience that also accommodates Servers and IT Virtualisation.

Which operating system can I use?
Windows 7 is offered as a desktop operating systems and users of Windows XP and/or Vista desktops can also upgrade for FREE to Windows 7.

Does the package include Office 2007, or Office 2010?
You can chose which version you want however, you will need to ensure that the version includes all of the applications required for you to run your business.

Microsoft Office 2010 includes more applications than Office 2007.

Is there ever any service downtime?
Resilience and business continuity are vital reasons for going on-line. However, from time to time things do need to be changed, maintained and updated and this leads to ‘Scheduled Service Downtime’.

Preparations for an ‘update’ can take weeks, even months and after passing Internal UAT (User Acceptance Testing) a Schedule Upgrade Summary will be notified and we will always endeavour to give Customers 48 hours notice.

Prior to the scheduled downtime users will be required to SAVE and CLOSE prior to actual shut down.

Changes are usually scheduled for late Friday / Saturday to ensure minimal disruption to the working week.

Please Note: Any change in a complex and integrated range of applications may cause issues, and no amount of regression testing will ever find them.

Billing and contracts
Billing is monthly in advance by standing order and on the 1st of the month thereafter.

Minimum contract term is 12 months.

Contract renewals are contiguous.

Contract cancellation requires three months written notice.

Original Contract No. of Users can grow above the contracted amount without limit and the minimum number of users will be allowed to fall by 25% (rounded up to the nearest whole number) from the contracted number.

We reserve the right to suspend the service for outstanding payment of the service supplied in accordance with our standard terms and conditions.
